How to Stop Losing Business Enquiries
Where enquiries go missing, and five habits that stop it.
By the DialCRM.AI team · Published 5 November 2026
Businesses lose enquiries mainly because no single person owns them and no system reminds anyone to follow up. Fixing that takes one place for every enquiry, a clear owner for each, and a date for the next step.
Where do enquiries go missing?
- In the inbox of someone who is away.
- On a personal phone, when the customer messaged a salesperson directly.
- Between marketplaces, ads and the website, each checked separately.
- After the first call, when nobody booked a second.
1. Put every enquiry in one place
Connect your sources so that enquiries arrive by themselves. Anything that depends on someone copying details across will eventually be skipped.
2. Give every enquiry one owner
Assign each enquiry to a named person as it arrives. If it has no owner, nobody is accountable for it.
3. Never end a call without a next date
Every conversation should end with a follow-up booked, or the enquiry closed with a reason. Open enquiries with no next step are the ones that disappear.
4. Keep the history on the record
Calls, messages and quotes belong against the customer, so a colleague can pick up where someone left off.
5. Look at what was missed
Check missed follow-ups and response times regularly. You cannot fix what nobody is measuring.
